Jewish Federation of the Bluegrass is seeking a reliable, responsible, and team-oriented Office Administrator to undertake a variety of administrative and clerical tasks and ensure our programming, education, and fundraising staff have adequate support to work efficiently.


The tasks of the Office Administrator will include bookkeeping, supporting the Executive Director and other JFB staff, assisting in daily office needs, and coordinating with contracted professionals as well as JFB volunteers. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. The ideal candidate for this position should have excellent written and oral communication skills and be resourceful, solution-oriented and organized.


The Office Administrator ensures our organization’s office runs smoothly and contributes in driving sustainable growth. 



  • 30 hours per week

  • Salary range is $14-18 per hour.

Primary Duties and Responsibilities:


  • Answer and direct phone calls and emails. 

  • Provide general support to visitors.

  • Act as the point of contact for general inquiries and event registration.

  • Create and update records and databases with personnel, financial, and other data.

  • Maintain accurate financial records and run reports prior to monthly budget meetings and upon request.

  • Handle budgeting and bookkeeping tasks in coordination with the Executive Director and JFB Treasurer.

  • Work with CPA and payroll specialist to ensure correct and timely filings and disbursements.

  • Develop and maintain a filing system.

  • Track stocks of office supplies and place orders when necessary, as well as research new deals and suppliers.

  • Assume responsibility for maintenance of office and office equipment, including computers and copy machines.     

  • Update and maintain office policies and procedures.

  • Handle administrative requests and queries from senior staff members.

  • Coordinate meetings and take detailed minutes, as requested.

  • Maintain the conference room schedule to ensure no duplicate bookings.

  • Manage agendas and appointments for the Executive Director.

  • Manage miscellaneous correspondence (email, letters, packages, etc.)

  • Book travel arrangements, as requested.

  • Assist in training staff members and new hires.

  • Assist colleagues whenever necessary.

Education, Experience and Skills:

  • Bachelor’s degree preferred.

  • Qualifications in secretarial studies will be an advantage.

  • Proficient in full Microsoft Office suite, Quickbooks Online or Desktop, and familiar with CRM platforms. 

  • Excellent verbal and written communication skills.

  • 3 or more years experience as an office administrator, virtual or office assistant, or relevant role.

  • Outstanding interpersonal abilities.

  • Excellent organizational and time management skills with the ability to multitask.

  • Familiarity with office management procedures and basic accounting principles.

  • Working knowledge of office equipment, like printers and fax machines.

  • Attention to detail and problem solving skills.

  • Ability to analyze and revise operating practices to improve efficiency.

  • Dedication to completing projects in a timely manner.
